Photography invoice template

Photography work can combine a booking retainer, shoot fee, second photographer, editing, prints, albums, and a commercial usage licence. This template lets you list the agreed elements separately and show earlier payments clearly on a later balance invoice.

What to put on a photography invoice

Photography invoices are easier to check when the shoot, editing, products, and licence are separated as agreed. A wedding client can distinguish the album from coverage, while a commercial client can distinguish usage rights from the day rate.

Show the shoot or event date as well as the invoice date, and record any retainer already paid as a credit where the document is billing the remaining balance.

Shoot or coverage fee
Your core time on the day, billed per package, per hour or as a day rate.
Second shooter
An assistant photographer for weddings or large events, listed as a separate line.
Editing and retouching
Culling, colour work and retouching, charged by hour or by the number of finished images.
Gallery or per image delivery
Digital files delivered, either as a full gallery or priced per extra image beyond the package.
Prints and album
Physical products such as fine art prints, framed pieces and the wedding album.
Usage or licence fee
For commercial work, the right to use images in ads, packaging or online, scoped by media and time.

Package, time, licence, and staged billing

A package invoice names the included coverage, deliverables, and agreed amount. An hourly or day-rate invoice shows time and rate and should not imply that editing, files, products, travel, or usage rights are extra unless the agreement treats them that way.

Show approved travel, accommodation, additional coverage, extra images, prints, albums, or licence fees as separate lines when they fall outside the base price. Reference the quote or change record that supports each extra.

A project may use an advance payment and later stages. Define the amount, billing event, cancellation or refund terms, and final delivery conditions in the contract. On each later invoice, reconcile previous payments and identify only the stage or balance currently due.

Tax and licensing notes for photographers

VAT, GST, or sales-tax treatment depends on the jurisdiction, parties, registration, and what is supplied. A shoot, usage licence, print, and album may receive different treatment, so verify each element before choosing the tax line.

Set image rights in a written contract or licence: media, duration, territory, exclusivity, and when the grant takes effect. The invoice can reference that agreement, but copyright ownership and assignment formalities vary by jurisdiction. Do not assume payment alone transfers every right.

Keep any model or property release required for the planned use with the job records. A release is separate from the invoice and does not by itself settle every privacy, publicity, copyright, or location right.

Payment terms and getting paid

A booking retainer or deposit can hold the date, but there is no universal percentage or refund rule. Record the amount, cancellation terms, and any consumer-law limits in the contract. Show the paid amount as a credit when billing the remaining balance.

You may agree to deliver final files, a gallery, or an album after payment, provided that term is disclosed before the shoot and permitted by law. Do not withhold material the client is already legally entitled to receive under a different deadline.

Set an explicit due date. Only add a late fee or interest clause where the agreement and applicable law allow it.

Photography invoice questions

Should I invoice the deposit separately from the final balance?

Use the billing schedule in the contract. You can issue separate documents for an advance payment and later balance, or use another agreed stage structure. On each later invoice, show the earlier payment as a credit or otherwise reconcile it clearly against the current amount due.

How do I charge for image usage or a licence?

Add the licence as its own line and reference the written grant covering media, duration, territory, exclusivity, and timing. Pricing depends on the negotiated scope. Copyright assignment and licence formalities vary by jurisdiction, so the invoice should match the contract.

Do I add VAT or sales tax to a photography invoice?

It depends on the jurisdiction, parties, registration, and what is supplied. A shoot, licence, print, and album may receive different treatment. Confirm whether they form one supply or require separate rates, amounts, identifiers, or wording before configuring the invoice.

What if the client wants more edited images than the package included?

If the client approves work beyond the package, show it separately using the agreed quantity and rate or fixed amount. Apply the same approach to extra coverage, another photographer, products, or editing. Do not introduce an extra charge for the first time on the final invoice.

Can I hold the final gallery until the invoice is paid?

You may agree that final delivery follows payment, but disclose the term before the shoot and check local contract and consumer rules. The invoice should reference the agreement and must not override a legal or contractual delivery duty.
