Online tool vs. desktop program or spreadsheet

A document or spreadsheet template offers control and can use cloud storage, formulas and versions, but invoice-specific numbering, validation and statuses must be built. Accounting software may join invoicing to ledgers, bank feeds and reports, whether delivered on desktop or as a service. What to look for and how your data is handled

Check whether the tool supports the tax rates, notes, currency precision, language and output format you need. “Supports VAT” should mean configurable fields and calculations, not that the tool decides the legal treatment. Look for transparent pricing, watermarks, export options, retention, correction controls and a way to preserve the issued version.
